The Role Provide essential administrative support to our attorneys, manage multi-line phone system, coordinate appointments, interact with clients, and assist with billing and case management. Strong communication skills, proficiency in Microsoft Office and a collaborative attitude are key to success in this role. Key responsibilities Proficiency in Microsoft Outlook, Word, and Excel for daily administrative tasks. Answer/route incoming calls, take/return messages timely and professionally. Conduct initial phone interviews with potential new clients. Assist attorneys with scheduling client calls and meetings. Work within Clio Grow for case management related tasks. Generate, distribute and process Retainer Agreements. Track and log client payments. Send client thank you notes upon receipt of payments. Create new client folders. Assist Billing Manager with review of client billing each cycle to ensure billing accuracy. Assist Billing Manager and Attorneys with maintaining accounts receivable and monitoring client account statuses. Open, prioritize, and distribute mail. Coordinate mailings, deliveries and copying. Assist with various administrative tasks around the office. Full Time/In-Office [$35,000 - $60,000] Key Skills and Experience Required Prior experience in a legal or professional services environment preferred, but not required. Strong time management and multitasking skills with the ability to thrive in a fast-paced, professional environment. Excellent planning and organizational skills, detail oriented. Proficient in Word, Excel, Outlook, and Adobe. Excellent verbal and written communication skills. Experience with Clio and other legal software a plus.
